Color Formula Vault ("we," "our," or "us") provides a mobile application that helps hairstylists save, organize, and recall hair color formulas for their clients (the "App"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By creating an account or using the App, you agree to the practices described in this policy.
• Account information: your name, email address, and password when you create an account.
• Client records: information you choose to enter about your clients, which may include their name, hair type or texture notes, color formulas, processing times, and your own service notes.
• Photos: before-and-after photos you upload in connection with a client's formula history.
• Payment information: if you subscribe to a paid plan, payment details are collected and processed by our third-party payment processor (such as Stripe). We do not store your full payment card number on our servers.
• Communications: information you provide when you contact us for support.
• Device and usage information, such as device type, operating system, app version, and general usage patterns (e.g. which features are used and how often).
• Log data, such as access times, app crashes, and performance diagnostics, used to maintain and improve the App.
Because the App is designed to store records about your clients (such as hair color formulas and photos), you may enter personal information about individuals who are not the App's account holder. You are responsible for ensuring you have the appropriate right or consent to store this information about your clients, consistent with your own professional and legal obligations as a stylist.
We use the information we collect to:
• Provide, operate, and maintain the App's core features, including saving and retrieving client formula records.
• Process subscription payments and manage your account.
• Respond to support requests and communicate with you about your account.
• Monitor and improve App performance, reliability, and features.
• Detect, prevent, and address technical issues, fraud, or misuse of the App.
• Comply with legal obligations.
We do not sell your personal information or your clients' information. We may share information in the following limited circumstances:
• Service providers: with vendors who perform services on our behalf, such as cloud hosting, data storage, analytics, and payment processing. These providers are only permitted to use your information to provide services to us.
• Legal requirements: if required to do so by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
• Business transfers: if we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.
• With your consent: in any other circumstance, with your explicit consent.

Photos and client records are stored using encrypted cloud storage. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
We retain your account information and client records for as long as your account is active, or as needed to provide you the App's services. If you delete your account, we will delete or anonymize your personal information within a reasonable period, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.
Depending on your location, you may have certain rights regarding your personal information, which may include the right to:
• Access the personal information we hold about you.
• Correct inaccurate or incomplete information.
• Request deletion of your personal information.
• Export your data in a portable format.
• Object to or restrict certain processing of your information.
You can update your account information at any time within the App's Profile screen, or request deletion of your account by emailing us at connect@colorformulavault.com or by using the "Delete account" option in the App.
The App is intended for use by licensed cosmetology professionals and is not directed to children. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have inadvertently collected such information, we will take steps to delete it.
If you access the App from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate. By using the App, you consent to this transfer.
The App may contain links to third-party websites or services (such as our Terms and Conditions, Support page, or payment processor). We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies.
We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the App or by email prior to the change becoming effective. Your continued use of the App after the effective date of any update constitutes your acceptance of the revised policy.
